POSITION Executive Assistant
LOCATION Edmonton, Alberta
YOUR OPPORTUNITY
We are seeking an Executive Assistant to provide advanced-level administrative support to KV Capital’s executive team. This role is integral to our continued growth and success, requiring exceptional judgment, resourcefulness, and professionalism. You will handle complex administrative tasks, including planning, organizing, and coordinating activities. You will also manage travel arrangements, expense reports, and document preparation for executive-level communications.
The ideal candidate will have exceptional attention to detail, strong organizational skills, and the ability to excel in a fast-paced environment. You will be proactive, resourceful, and capable of managing competing priorities while maintaining a high level of professionalism. This role requires a self-starter who can take initiative, work independently, and support the executive team by ensuring smooth day-to-day operations. Success in this role will depend on your ability to thrive under pressure, exercise sound judgment, and collaborate effectively with both the executive team and other team members.
YOUR KEY RESPONSIBILITIES
- Provide direct administrative support to all members of the executive team.
- Manage and maintain executive management’s work schedules and calendars.
- Coordinate travel schedules, including booking and schedules.
- Organize leadership team meetings, board meetings, and client engagements.
- Provide occasional meeting support by taking comprehensive notes, maintaining minutes of meetings, tracking action items, and following up their completion.
- Provide event or meeting planning and coordination as needed; this includes arranging meeting rooms, catering, equipment, and other necessary resources.
- Draft, edit, and review correspondence, presentations, and legal documents, as needed.
- Assist with expense report preparation.
- Assist in planning and coordinating company-wide events and meetings.
- Provide administrative support to other members of the KV Capital team as needed.
YOUR CAPABILITIES AND CREDENTIALS
- 5+ years of experience in a Senior Administrative/Executive Assistant role.
- A diploma in Office Administration or Legal Assistance would be an asset.
- Proven experience supporting multiple senior leaders within a fast-paced, entrepreneurial environment.
- Strong attention to detail and ability to manage multiple tasks under tight deadlines.
- Exceptional communication and interpersonal skills, both written and verbal.
- Demonstrated ability to work independently, take initiative and follow through on work assignments.
- Demonstrated experience exercising resourcefulness, good judgment, and discretion to make decisions and act at times without having much direction.
- Proficient with Microsoft Office Suite (Outlook, Word, Excel, Power Point).
